Ways of grouping assets


AssetManager Pro has a number of ways of grouping assets together to:

1 Provide a way to identify assets and find them
2 Show a relationship between the assets
3 and/or provide a way of totaling up asset values and depreciation.

Asset Headers are one way of identifying and showing a relationship between assets via the Asset List and in a range of Asset List and Depreciation reports.

Grouping by asset headers

To add an asset header

1 Go to the Acquisitions command centre and click Asset List. The Asset List window appears. 

2 Click New. The Asset Information window appears. 


 
Asset ID If the System-defined Numbering for the Asset ID checkbox is marked in the Preferences window, the Asset ID field will display the next available cardinal number. (When you create a new data file, system defined numbering is the default.). If the User-defined Numbering for the Asset ID checkbox is marked in the Preferences window, you will need to enter an alphanumeric, numeric, or alphabetic code in the Asset ID field.

Asset Type Choose Header Asset from the drop-down list . Note In choosing Header, only the Asset Profile tab will be displayed. The Header ID and Asset Group fields will no longer be displayed. Click OK and the Header will appear in the Asset List window.

For example, you might want to group detail assets such as a desks, chairs, and filing cabinets might under a workstation. In this case, it could be a Header ID called 'Workstation 1'. 

To link a detailed asset to a asset header


Note: If you are creating a NEW asset refer to the Entering Asset Information for details on how to create and assign the asset to a header.

1 If the asset is a Detail Asset, you might like to select a Header ID to which the asset will be linked. In this way, you can maintain a record of the separate components that are part of a 'total' asset. However, if you do this, each of the linked detail assets will be treated as a separate asset for the purpose of calculating depreciation. The rules for full depreciation at purchase will apply. 

  • Click the search icon next to the Header ID. The Select Asset window appears.
  • Select the Header ID to which this detailed asset is to be linked and click Use Asset.

For example, detail assets such as a desk, chair, and filing cabinet might constitute a specific workstation. In this case, it could be a Header ID called 'Workstation 1'. 


Working with headers in the asset list


The Asset List window displays a list of the assets you have entered into AssetManager Pro. From this window, you can easily find the assets you require and sort them according to your needs. There are many combinations of searches you can perform depending on the type of information you require.

Many of those views include a view of the Asset Header and the related detailed Assets.



Asset Headers and their related Detailed Assets will display in all views expect when Sorting by Asset Name and Asset Cost.

If you Sort By Asset ID or Name and choose Headers in the Select field, a list of all headers is displayed in ascending asset ID order. Headers that are in use cannot be deleted. If you want to remove a header that is not in use, select the header and click Edit to display the Asset Information window. Then, click Delete to remove it from the list.
